To begin with your Healthcode setup you'll need to navigate to the settings at the top right of your interface.

Next select the Finances tab and select Healthcode.

You'll then need to toggle the 'Enable Healthcode Integration'

You should then be presented with this:

Here are the what the fields on this page and what will need to be added to them:

Generic Controlling Specialist - this number is provided to you from Healthcode. If this fails on a Healthcode export it may because Healthcode has changed this.


Healthcode Sender Code - this number is provided in your Healthcode registration email/letter sent to you from Healthcode. This number is also the same and your Healthcode Site ID.


Export Global Start Date - is a value that will be set the first time you begin to use Healthcode with TM3. For example, if you set the date to be the 31st October 2017, this means that invoices from that date which are linked to Healthcode's (Industry Standard Codes) stock items will be exported for billing via the Healthcode web interface.

Healthcode Site ID - is a value that will match the same value in the Healthcode Sender Code field. These values should be the unique site ID that is on the welcome letter/email from Healthcode.


Healthcode Username - is a username that will be provided as part of the Healthcode Web Service for the automatic submission of claims directly from TM3.


Healthcode Password - is a password provided by Healthcode as part of their Healthcode Web Service for the automatic submission of claims from TM3. Just add the Healthcode Web Service provided to this field.

Setting Up Charge Codes For Your Group's Stock In TM3

We will need to look at configuring the charge codes you would use for your business' accepted stock items. You'll need to firstly add the groups that you want to associate with Healthcode; you can add them under the 'Add / remove business' section shown here:

Simply tick the business' that you want added to Healthcode, once you have selected them they should appear on the left hand side here:

Next you'll need to select the group to open their Healthcode details, from here you can map the accepted group stock items to their correct charge codes. You'll be presented with the groups Healthcode configuration details shown here:

Before linking the charges there are a few things on the groups record that will need to be filled in, the first is the insurer code, you'll need to select one of the available options in the drop down list:

The Insurer Codes are as follows:

AXA - ppp
SimplyHealth - ppp
The Exeter - efs
Aviva - nuh
Bupa - bup
Bupa Global/inter - bui
Cigna - cig
Healix Health - hhs
Vitality Health - slh
WPA - wpa
Alliance Health Corporate - ahc
Alliance Health Vitality - ahv

Next would be to add the 'Controlling Specialist Override' if it is applicable

The next step will be to setup how you want your provider code to operate:

Finally the charge codes for the groups agreed charges need to be set, simply click on the charge codes section of the stock item showing and being to type the code you want, in this example I've input 'E'.

Healthcode will be able to advise you on which Charge Code is suitable for the stock item you are working with. Locate the correct code for the stock to set it.

Mapping of Diagnosis Codes

The next thing that will need to be added is the Mapping of the Diagnosis Code List

for this you'll need to navigate to the clinical section within your settings cog section. On the first page the last option you should see will be for 'Current diagnosis code list:' and will allow you to select which list you would like to use. You can use your own custom list or the preset 'Healthcode Diagnosis list'.

Once you've set your Diagnosis code list you'll need to navigate to the Clinical Lists section on the left of the Clinical area:

From here you'll need to find the diagnosis code you've set in the previous step to enable them for Healthcode, in this case we are using the 'Healthcode Diagnosis list'. To enable the list for Healthcode simply press the [+] option to the right of the list and press 'Healthcode'.

Once you've selected this you'll see that a stamp will appear beside the list to confirm it's enabled:

Now we'll need to set the correct diagnosis code for the list of diagnosis, simply click the arrow the left of the name of your chosen diagnosis list to drop it down. From here click on the cog icon on the far right of each diagnosis:

Once you've pressed that you should get this:

Simply select the right diagnosis code to it's diagnosis, in this case we are looking at Bursitis so we will map it with that:

Once all the diagnosis' are mapped to their correct code then this is completed.

Exporting Invoices to Healthcode

Once everything is setup the last thing to do is to export your invoices once you are ready to. In order to action this simply navigate to the Finance section and click on the 'Healthcode Wizard' tab.

Select the date range you want and press the 'Validate Export' button:

Your available invoices will show on the right hand side and any issues that may be on them will become clear at this point:

Some issues will still allow you to send through the invoices, if there is an (*) against the issue it is something that will need to be resolved before being able to export the invoices. Once you're happy with the invoices simply select the ones you want to export and press 'Export'.

Once you've done this the invoices with either automatically upload themselves to Healthcode using the login details setup in your Healthcode settings or it will show you a file in the Remittance section for you to download from TM3 to upload manually or send off to Healthcode.
