This article will show you the parameters and columns featured on the new Patient Birthdays Report:

Patient Birthdays

Summary:

Clients listed by birth month who have attended within your date range

Parameters

Location Type:

As default it will only display data for Active & View Only locations. To see 'All' this will need to be selected

Location:

Leave blank to show data for all locations from the setting above. For example, if no locations are selected it will look for all 'Active & View Only’ locations as shown above.

Practitioner Status:

Defaults to ‘Full Time & Pay G’ practitioners. If you need to see disabled practitioners ‘All’ should be selected

Practitioner:

Leave blank to pull through all the practitioners from the setting above. Otherwise select as many practitioners on the drop list as needed.

Birth Month:

Select the month(s) that the clients’ birthdays fall under.

Has Future Appointment Only?

Defaults to ‘No’ meaning this option will be ignored. If ‘yes’ is selected it will only show patients that have booked an appointment in the future.

Apply Last Appointment Date Filter

Defaults to ‘Yes’ meaning it will only show clients who have had an appointment in your date range, selected below. Switching this to ‘No’ will pull through all clients in your selected month. If going for this option, you should only run this for one birth month at a time.

Last Appointment Date

If ‘yes’ is selected in the section above, it will search for all clients who have had their last completed appointment in the date range provided.

Show Patients with Contact Methods:

Defaults to ‘Disregard’ which does not do anything further. ‘Email’ will display clients with a value in their email address field. ‘Phone Number’ will display anyone with at least one contact number.

Group By Location?

Separates the data into location groupings, with totals per location at the bottom of each group

Group By Month?

Separates the data by month, with totals per month at the bottom of each group.

Note: If more than one grouping is selected they will stack one under another in the order they appear in the parameter section.

Once you submit your parameters you can save this as a preset by pressing save at the top right-hand side of the report.

Columns

Registered Location:

The Location the client record is linked to. This may be blank for those that sign up via Connect.

Practitioner:

Displays the clients ‘default practitioner’ linked to the client record. This may be blank if they have not booked an appointment yet.

Date Of Birth:

Client’s date of birth

Age

The clients age calculated from their D.O.B. above

Birthday Month:

Their birthday month

Client Reference:

Client’s reference number located on their record.

Client Name:

The full name of the client. This will be hyperlinked, which when clicked will open the client record in a new tab.

Address:

Address line 1 to 4 combined.

Email:

Client’s email address

Contact Details:

It will display the client’s mobile number. If this is blank, it will display their work telephone number. Finally, if this is blank it will show their home telephone number.

Last Appointment Date:

The date of the client’s last completed appointment.

If exporting the data into a CSV or Excel file, the grouping parameters should be ignored.
