This article will show you the parameters and columns featured on the new Practitioner Availability Report:

Summary:

Breakdown of diary utilisation by practitioner working hours.

This will give a weekly breakdown, starting with the first day of the week.
Please note: If you were to run 01/09/2023-30/09/2023
This would only include data from 01/09/2023, but the report would state ‘Week beginning as 25/08/2023’

Parameters

Date Range:

Date selection is mandatory. The report will pull through all working hours and diary activity between your date range

Practitioner Status:

Defaults to ‘Full Time & Pay G’ practitioners. If you need to see disabled practitioners ‘All’ should be selected

Practitioner(s):

Leave blank to pull through all the practitioners from the setting above. Otherwise select as many practitioners on the drop list as needed.

Location Status:

As default it will only display data for Active & View Only locations. To see 'All' this will need to be selected

Location:

Leave blank to show data for all locations from the setting above. For example, if no locations are selected it will look for all 'Active & View Only’ locations as shown above.

Export View?

This report is different to others, where the data is grouped as default. If you wish to export the data to csv/ excel use this option.

Once you submit your parameters you can save this as a preset by pressing save at the top right-hand side of the report.

Columns

Week Beginning:

The Monday of the current week. If you were to turn the report for one month this date will likely have the previous month. Please note that only data within your date range will be included on the report.

Total Session Time:

The total number of working hours scheduled for that week

Appointments and Classes Duration:

A combined total of the duration booked, arrived and completed appointments and classes. This number will be expressed in hours.

Appt Duration:

The duration of the total booked, arrived and completed appointments expressed in hours.

Initial Appts:

The duration of booked, arrived and completed appointments that has the option ‘This is the first appointment of a new case’ ticked.

Follow Up Appts:

The duration of booked, arrived and completed appointments that has the option ‘This appointment belongs to an existing case’ ticked.

Class Duration:

The duration of the total booked, arrived and completed classes expressed in hours.

Meeting Duration:

The duration of appointment types where the event type ‘Meeting’ is selected expressed in hours.

Other Duration:

The duration of appointment types where the event type ‘Other’ is selected expressed in hours.

Holiday Duration:

The duration of appointment types where the event type ‘Holiday’ is selected expressed in hours.

Cancelled Appts Duration:

The duration of cancelled appointments or class sessions expressed in hours.

DNA Appts Duration:

The duration of DNA’d appointments expressed in hours

Utilisation:

The practitioner’s utilisation per location, per week in a percentage.
The equation for this:
100 / (Total Working Hours - (Meetings + Holiday)) * (Appointments + Classes + DNA))

If exporting the data into a CSV or Excel file, please select the Export View parameter
